SALES & CATERING POLICIES


• PAYMENT
Payment must be made at the end of the function, unless credit had been
established to the satisfaction of the hotel. A deposit is required
at the time of the definite booking. Deposits will show credit on your final bill.

• ROOM ASSIGNMENTS & SET UPS
Wintergreen Resort and Conference Center reserves the right to reassign meeting rooms,
especially in the case of fluctuating attendance figures.
Wintergreen Resort and Conference Center also reserves the right to charge
a service fee for setting up meeting rooms with extraordinary requirements or changing
set ups within 24 hours of function.

• ENTERTAINMENT
Functions which have live music, DJ, etc. must have entertainment
end by 12:00 a.m. unless special arrangements have been made in advance.
Entertainment must provide their own equipment.
The expense of any special electrical needs must be
paid by the individual or organization hosting the function.
Groups using the Grand Teton Room must purchase the 3rd Floor
guest rooms.

• SHIPPING & RECEIVING
If it is necessary for you to ship materials to our hotel prior to your meeting,
packages will be accepted two (2) days prior to your function.
Please mark clearly any label as follows:

Arrival Date
Special arrangements must be made in advance for any shipments arriving
more than two days prior to the function. Storage fees will be set at that time.
Return shipping for all items will be your responsibility. Merchandise must be
picked up within two days of the completion of your event.

• DAMAGES
Wintergreen Resort does not permit the affixing of anything to the walls,
floors or ceilings of room with nails, staples, thumbtacks, tape or any other substance.
No balloons or open flame are allowed. Patron agrees to be responsible for any
damage to the premises or equipment by members, guests,
invitees or outside groups contracted by the patron during the period of time function
is held at the hotel. Wintergreen Resort and Conference Center
reserves the right to inspect and control all private parties, meetings, receptions,
etc. being held on the premises. Hotel will not assume responsibility for the
damage or loss of any merchandise or articles left in the hotel prior to, during
or following the function. Security arrangements should be made for all items left
unattended for any time.

• GUEST ROOMS
Special rates are available depending on the number of rooms occupied and the season.
Room blocks may be made at the time of a definite booking and held until a
designated date. After this date, reservations will continue to be taken on a space-available
basis at rack rate. Upon request, we will provide reservation forms for mailing to attendees.
Rooming list due (4) four weeks prior to arrival.

• GUARANTEES
A guarantee is required no later than 12:00 noon, 72 hours prior to each meal
function. It is not possible to lower the guarantee within the 72 hour period; however,
the guarantee may be increased after time. If a guarantee is not submitted, the preliminary
number indicated on the function agreement will be considered the correct and
guaranteed number. You will be charged for the number guaranteed or the number
actually served, whichever is greater. You will be charged for breaks based
on the amount ordered or the amount used, if greater than ordered.

• MENU SELECTIONS
Menu selections must be made a minimum of (2) two weeks prior to the
date of the function. We will be happy to discuss a special menu request for your specific needs.
All food and beverage must be purchased through
the hotel. No food prepared by the hotel and remaining uneaten may be taken
out of the hotel after a function. All federal, state, and local laws are strictly
adhered to with regard to food and beverage purchase and consumption.

• ALCOHOLIC BEVERAGES
No alcoholic beverages shall be brought into the banquet or meeting rooms by the
patron, the patron's guests or invitees from outside without prior permission from
the management. Private bars may be closed earlier than originally requested per hotel
management discretion. Please note that alcoholic beverage sales and services are
regulated by state and local liquor service laws.

• MENU PRICES
All menu prices are subject to change.

• TAXES / SERVICE CHARGES
All food and beverage prices are subject to 18% service charge; 6% state sales
tax is then added to the total amount. Groups requesting a state tax exemption
must submit a completed tax exempt form and a copy of the exemption
certificate prior to the scheduled function.

• CANCELLATIONS
Cancellations received less than (6) six months prior to the scheduled function
will result in a cancellation fee.
